Compare / What you keep, what you lose
Keep the business knowledge. Review the habits.
A system change should make the treatment of records, reports, and working routines explicit.
Keep what the business needs to explain
Preserve source records, approved balances, customer and supplier identifiers, and the historical reports needed for reference. Retention and access requirements should be agreed with the responsible advisers.
Expect some routines to change
Screens, permissions, document numbering, and report formats may differ. Recreating every old report can hide a simpler way to answer the same question. Decide which differences the team can accept and which need configuration or custom work.
Do not assume connections transfer
Bank feeds, payroll services, payment providers, and add-ons need individual review. An integration in the current stack does not automatically exist in the proposed system.
Bring to the first discussion
- Required historical access
- Must-keep reports and business identifiers
- Connections that need replacement or a new agreement
